Privacy Policy

This English version is a courtesy translation; the German original is the legally binding version. This website does not set cookies and does not use tracking by default. What is processed regardless is described below.

2. Overview

Without your consent, we process personal data only in a few cases: when you load the page itself, when you write to us via the contact form, or when you message us via the WhatsApp button – in that case, WhatsApp/Meta processes the data, not us, see section 6. In addition, we use Google Analytics, Google Ads, and two OpenStreetMap maps – but only after you have agreed in the banner. Without your consent, none of this is loaded and no cookie is set.

3. Visiting the website and server logs

Every time you visit, our web server automatically stores information transmitted by your browser. This is:

  • your IP address
  • the date and time of access
  • the page accessed and the amount of data transferred
  • the server's status message
  • the previously visited page, if your browser transmits it
  • browser type and operating system

Purpose and legal basis: This data is technically required to deliver the page, ensure its stability and detect attacks. The legal basis is Art. 6 (1)(f) GDPR. Our legitimate interest lies in secure, trouble-free operation.

Retention period: Logs are deleted after seven days at the latest, unless they are needed longer to investigate a specific security incident.

The website runs on F2N IT Solutions GmbH's own infrastructure in Germany. This data is not passed on to third parties.

4. Contact form

You can send us an enquiry through the form on the homepage. In doing so, we process:

  • your name (required)
  • your email address (required)
  • your message (required)
  • company, phone number and reason for the enquiry, if you provide them
  • your IP address as well as the date and time of submission

The information is sent to us by email. In addition, the server records whether sending was successful; the time, your email address and the beginning of your message are stored for this purpose, so that no enquiry is lost unnoticed. The IP address and timestamp are used to defend against automated mass submissions.

Purpose and legal basis: We process this information to respond to your enquiry. If the enquiry aims at a contract or its initiation, the legal basis is Art. 6 (1)(b) GDPR. Otherwise we rely on your consent under Art. 6 (1)(a) GDPR, which you give by ticking the checkbox, and, regarding the IP address, on our legitimate interest in preventing abuse under Art. 6 (1)(f) GDPR.

Retention period: We keep your enquiry until it has been fully processed and no further questions are to be expected. If the enquiry leads to a contractual relationship, the statutory retention periods under German commercial and tax law of six and ten years apply. We delete the technical log entries for the form after 30 days at the latest.

You can withdraw your consent at any time with effect for the future, informally, by writing to info@f2n-it.de. This does not affect the lawfulness of processing carried out before the withdrawal.

5. Contact by email and phone

If you call or write to us directly, we process your information to handle your request. The legal basis is Art. 6 (1)(b) GDPR where it concerns a contract or its initiation, otherwise Art. 6 (1)(f) GDPR. The same retention periods apply as for the contact form.

6. Contact via WhatsApp

Every page has a WhatsApp button you can use to message us directly. Until you click it, nothing happens: no connection to WhatsApp or Meta is established, no cookie is set and no data is transmitted. The button is an ordinary link, technically no different from a link to any other website.

If you click the button, WhatsApp opens with a pre-filled message to our number. From that point on, further communication runs through WhatsApp, operated by WhatsApp Ireland Limited, a subsidiary of Meta Platforms Ireland Limited, 4 Grand Canal Square, Dublin 2, Ireland. Meta then processes your phone number, the message content and technical data from your device under its own privacy terms, which we have no influence over; WhatsApp/Meta's privacy policy applies.

Legal basis: For us, messaging via WhatsApp is a form of contact like any other, Art. 6 (1)(b) or (f) GDPR – depending on whether it concerns a contract or its initiation, or a general enquiry. Choosing WhatsApp instead of email or phone is your decision.

7. Social media links in the footer

At the bottom of every page we link to our profiles on Instagram, Facebook, LinkedIn and Xing, as well as to our phone number and email address. These are ordinary links: visiting our site does not establish a connection to these providers and does not transmit any information about you – unlike an embedded feed or a "share" button, which would send data to the provider as soon as the page loads. We deliberately did not build that in.

Only once you click one of these links do you leave our site. On the destination page, only the respective provider's privacy policy applies – for Instagram and Facebook that of Meta Platforms Ireland Limited, for LinkedIn that of LinkedIn Ireland Unlimited Company, for Xing that of New Work SE.

8. Downloads in the support area

In the Support section, we offer remote-support programs for download. No registration is required for the download itself; the server logs described in section 3 apply. What happens during an actual remote-support session is agreed separately with you in advance.

8a. Automatic language routing (German/English)

This website is available in German and in English. If you haven't chosen a language yet, your browser briefly asks the service GeoJS which country you're roughly located in when you load a German page, so we can show you the matching language version automatically if needed. This transmits your IP address to GeoJS. No cookie is set in the process, and we don't store anything beyond the request itself.

As soon as you use the language switcher in the top right, we remember your choice in a cookie (f2n_lang, valid for one year) instead, and the geolocation lookup is skipped on future visits.

Provider: GeoJS (get.geojs.io), a technical geolocation service.

Purpose and legal basis: This request exists solely to show you the correct language version. The legal basis is our legitimate interest in a user-friendly, multilingual presentation of the website, Art. 6 (1)(f) GDPR. A cookie banner is not required for this, since no cookie is set and no recognition across multiple visits takes place.

You can bypass automatic detection at any time by using the language switcher or by visiting the desired language version directly.

9. Consent, Google Analytics and Google Ads

On your first visit, we ask you in a banner whether you agree to the use of Google Analytics and Google Ads. Nothing from Google is loaded until you decide. Both buttons are designed equally; declining is no more effort than accepting. Consent is voluntary, and the website works unchanged without it.

We store your decision in your browser's local storage under f2n-consent, so we don't ask you again on every visit. Only the decision and the time are stored. We ask again after six months.

OpenStreetMap

On the homepage we embed two maps: our data center location in the "Infrastructure" section and our own location in the "Let's talk" section. Neither loads automatically when the page is opened; they only load if you consent in the banner or click "Load map" at the relevant spot. In both cases, your IP address is transmitted to OpenStreetMap when loading; no cookie is set in the process.

Provider: OpenStreetMap Foundation, St John's Innovation Centre, Cowley Road, Cambridge CB4 0WS, United Kingdom.

Transfer to the United Kingdom: An adequacy decision by the European Commission exists for the United Kingdom (decision of 28 June 2021), confirming a level of data protection comparable to the EU. No transfer to the USA takes place in connection with the maps.

Legal basis is your consent, Art. 6 (1)(a) GDPR. Since no cookie is set, § 25 (1) TDDG does not apply here.

Withdrawal

You can withdraw your consent at any time with effect for the future. Clicking Cookie Settings at the bottom of every page is enough. Upon withdrawal, we delete the Google cookies already set, insofar as our server has access to them. This does not affect the lawfulness of processing carried out before the withdrawal.

Google Tag Manager

We load the services described below via Google Tag Manager. The Tag Manager itself is not an analytics tool and does not set its own cookies; it is used solely to manage and deliver the other services. We only load it after you have given consent. Loading it transmits your IP address to Google.

Google Analytics

Google Analytics 4 collects which pages are visited, how long visitors stay, how they arrived, and approximate location, device and browser information. Cookies with a random identifier are set for this purpose, making your device recognisable. We have activated IP anonymisation; your IP address is shortened by Google before being stored. Purpose: we want to understand which content is in demand, in order to improve the website.

Google Ads

Through Google Ads we measure whether a placed ad led to a visit or an enquiry (conversion tracking), and can tailor ads to your interests (remarketing). Cookies are set for this too, and usage data is transmitted to Google. Purpose: we want to be able to assess the economic success of our advertising.

Legal basis, provider, retention period

Legal basis for storing and reading information on your device is § 25 (1) TDDG, and for the subsequent processing of your data, Art. 6 (1)(a) GDPR – in both cases, your consent.

Provider: Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland. A data processing agreement under Art. 28 GDPR is in place with Google.

Transfer to the USA: Data is also transferred to Google LLC in the United States. This is based on the European Commission's adequacy decision on the EU-US Data Privacy Framework, under which Google LLC is certified, supplemented by the EU Commission's Standard Contractual Clauses. We note that access to this data by US authorities cannot be fully ruled out, and that you may not have effective legal remedies against this.

Retention period: Depending on their purpose, the cookies used expire after 90 days to two years. We delete usage data collected in Google Analytics after 14 months. For details on individual cookies, see our Cookie Policy.

How Google processes data is described by Google at policies.google.com/privacy.

10. Fonts

The fonts used are hosted on our own server and loaded from there. There is no connection to Google Fonts or any other external service for displaying the page.

11. Encryption

This website is delivered exclusively over an encrypted connection (TLS), recognisable by the padlock icon in your browser. This means your entries in the contact form cannot be read by third parties while in transit.

12. Recipients and third countries

Beyond the Google and OpenStreetMap services described in section 9, we do not pass your data on to third parties unless legally obliged to do so. The website itself and the contact form run on our own infrastructure in Germany. A transfer to third countries occurs only in connection with Google Analytics, Google Ads and the OpenStreetMap maps, and only if you have consented.

13. Your rights

You have the following rights with respect to personal data concerning you:

  • Access to whether and what data we process about you (Art. 15 GDPR)
  • Rectification of inaccurate data or completion of incomplete data (Art. 16 GDPR)
  • Erasure of your data, unless a retention obligation prevents this (Art. 17 GDPR)
  • Restriction of processing (Art. 18 GDPR)
  • Data portability in a common format (Art. 20 GDPR)
  • Objection to processing we base on a legitimate interest (Art. 21 GDPR)
  • Withdrawal of consent with effect for the future (Art. 7 (3) GDPR)

An informal message to info@f2n-it.de is enough to exercise these rights.

14. Right to complain

Regardless of the above, you can lodge a complaint with a data protection supervisory authority. The authority responsible for us is:

We update this privacy policy as soon as processing on this website changes, for example when new features are added. The version published here always applies.
